Summary

Position Summary

The Senior Executive Assistant works on the Payor Strategy Team and will also have Contract Operations responsibilities.

Contract Operations responsibilities

  • Manage and maintain a filing system of contract agreements, amendments, addendums, rate exhibits, and notice letters using SharePoint and Compliance 360
  • Development of managed care contract language library and resource tools for use by negotiators and executive management staff.
  • Design, Manage and maintain the Payor Strategy SharePoint site, Hub updating it with notices, rate exhibits, contract-related matrices and flowcharts, etc.
  • Manage Payor Strategy notices to internal and external audiences including distribution of contracts to Finance Operations for loading in EPIC and to RHP, as applicable
  • Monitor and manage distribution of Payor Notices to SRHS Payor Operations workgroup
  • Manage distribution of notices and contracts to/from Payors via certified mail/FedEx.
  • Manage Payor Strategy contract log recording sent / receipt of all contractual correspondence
  • Maintain database of contract notice addresses and the names of local contract representatives
  • Manage and maintain Payor portal access as the primary administrator for all SRHS employee access.  Produce analysis and reports as request by SVP Payor Strategy and Population Health and Director of Payor Strategy
  • Produce reports using filters and pivot tables as requested by supervisors
  • Review payor rate schedules to confirm rate changes as part of Payor Strategy QC process
  • Manage agendas, develop presentation and materials and minutes for all quarterly Payor Joint Operating Committee meetings
  • Manage agendas, develop presentation and materials for all monthly Corporate Health Leadership Meetings
  • Support Corporate Health Director of Sales

Senior Executive Assistant responsibilities

  • Assist the Senior Vice President of Payor Strategy and Population Health, the Director of Payor Strategy and Corporate Health leadership team
  • Manage time sheets for the employees who report to the senior executives
  • Schedule meetings/calls/events strategically to make busy schedules manageable
  • Maintain office supplies (toner, paper, refreshments for meetings)
  • Plan and/or host events
  • Provide technical support for senior executives as needed (e.g., projector and audio/video conference set-up)
  • Ensure all Payor Strategy (including RHP) and Corporate Health meetings run efficiently
      • Confirm attendees and speakers
      • Prepare agendas
      • Collect and distribute meeting materials
      • Manage Skype and presentation display during meetings
      • Prepare and Distribute minutes or project task schedules
      • Order any materials and refreshments required
  • Manage travel/lodging arrangements
  • Report and log expenses

 

WHAT YOU WILL NEED

  • Executive Assistant experience (5 years)
  • Contact Administration experience preferred (2-3 years)
  • Previous managed care relationship management, working with senior health plan or health system senior executives experience (2-3 years)
  • Understanding of managed care concepts and terminology.
  • Highly proficient in all Microsoft Office products (Word, Excel, Visio and Powerpoint, Access is preferred but not required)
  • Experience developing and managing web page would be preferred but not required.

 

Minimum Requirements

Education

  • High School Diploma or Equivalent

Experience

  • Minimum 5-7 years of experience in field or related area.
  • Proficiency with MS Word and Outlook.  Proficiency with MS Excel and PowerPoint preferred.
  • Proven ability to handle sensitive and confidential information with discretion.

  • Maintains customer confidence and protects operations by keeping information confidential.
  • Prepares reports by collecting and analyzing information.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Performs other duties as assigned
