    Position Summary: Under the direction of the System Director of Supply Chain, coordinates the operation of the Regional Material Services department distribution functions to contribute to meeting the mission and goals of CMHC and its affiliated organization(s), as well as the requirements of applicable federal, state, and local regulatory and /or accrediting agencies.

    Duties and Responsibilities:
    Demonstrates Competency in the Following Areas:
    1.0 Ensures that all distribution areas within the healthcare system are maintained in a neat and orderly manner consistent with generally accepted inventory management protocols or as requested by manager.
    2.0 Maintains departmental productivity measurements and adjusts resources to meet hospital and departmental standards, as requested by the System Director of Supply Chain
    3.0 Ensures Materials Management Vehicles are maintained on a scheduled basis and maintains the vehicle maintenance log
    4.0 Responsible for charitable donations from the organization assuring proper designation and maintains file of equipment/supplies and what organization it was donated to
    5.0 Conducts regional par level audits assuring stock rotation and optimizing stock levels.
    6.0 Coordinates inventory cycle counts, and assists/coordinates annual inventory processes, and maintains daily stock out reports for staff as directed. Assures product rotation, sterility and package expiration in inventory locations and par level units
    7.0 Functions as back up to routine distribution and inventory duties of System Director of Supply Chain, and assumes all functions of the inventory control coordinator and/or clinical supply coordinators as needed
    8.0 Provides ongoing training for employees including orientation and in-services according to hospital and/or departmental policy and employee and organizational needs.
    9.0 Coordinates distribution staff duty assignments for day to day distribution functions to assure timely deliveries, quality services in accordance with the daily needs of customers
    10.0 Maintains the UPS and Fed X process for incoming and outgoing shipments assuring written documentation is kept and filed per department protocol
    11.0 Coordinates, along with the System Director of Supply Chain, the disaster response efforts of the Material Services Department
    12.0 Serves as a role model for all employees by adherence to, and positive attitude towards, all hospital policies, programs, and activities.
    13.0 Seeks out, understands, listens, and conveys clearly, information, as needed, in written and verbal forms.
    14.0 Consistently demonstrates tact, courtesy, and a positive attitude in communication and interaction with other employees, visitors, physicians, and the public. At all times represents the department and the hospital in a positive manner.
    15.0 Demonstrates willingness and ability to initiate and implement and support organizational change.
    1. Customer Service: Interacts with all individuals in a consistent manner, providing attention, support, and assistance to foster an environment of exceptional personal service.
    a. Maintains a pleasant and helpful demeanor, and presents a professional appearance toward all internal and external customers at all times.
    b. Consistently initiates interaction to provide assistance to individuals who may not be direct customers of the employee (i.e. asks patients who appear to be lost if they need assistance in finding their way).
    c. Takes appropriate action to recover from a service difficulty, ensuring that the necessary action is taken to affect a resolution to the customer’s problem.
    d. Conducts all work activities with respect for coworkers, including the maintenance of a pleasant and professional environment, fostering calmness during stressful situations.
    e. Interacts with supervisory personnel in a professional, supportive and courteous manner, venting emotions appropriate to time and place.
    f. Demonstrates a commitment to service by consistent attendance and punctuality, scheduling absences according to departmental requirements, and incurring unplanned absences only when unavoidable circumstances exist.

    Organizational Requirements
    Adheres to dress code, appearance is neat and clean.
    Completes annual education requirements.
    Maintains regulatory requirements.
    Maintains patient confidentiality at all times.
    Reports to work on time and as scheduled, completes work within designated time.
    Wears identification while on duty, uses computerized punch time system correctly.
    Completes inservices and returns in a timely fashion.
    Attends annual review and department inservices, as scheduled.
    Attends scheduled staff meetings and reads all monthly staff meeting minutes.
    Represents the organization in a positive and professional manner.
    Actively participates in performance improvement and continuous quality improvement (CQI) activities.
    Complies with all organizational policies regarding ethical business practices.
    Communicates the mission, ethics and goals of the facility, as well as the focus statement of the department.
    2. Confidentiality: Maintains confidentiality of information at all times.
    a. Consistently maintains confidentiality of all information gained during the course of employment, respecting the privacy of others.
    b. Understands and maintains the confidentiality of information communicated directly from the supervisor, including discussions of a counseling nature.
    c. Follows policies and procedures related to medico legal matters, including confidentiality, amendments of medical records, patient rights, medical records as legal evidence and informed consent
    d. Copies records according to policy, assuring the appropriateness of the individual requesting information from the record prior to copying, faxing, or phoning any portion of the record.
    3. Safety: Demonstrates an understanding of fire and electrical safety, infection control, body mechanics, and related areas, as appropriate to position.
    a. Attends mandatory in-services on fire safety, electrical safety, infection control, and body mechanics. Successfully completes competency-based training in each area.
    b. Follows all employee health procedures, incident reporting, and infection control requirements at all times, as appropriate to the position.
    c. Uses proper body mechanics at all times as required by the physical demands of the position.
    d. Maintains a safe work environment and performs duties of the position in a manner consistent with ensuring the safety of self and others.
    e. Identifies safety needs in areas outside own work environment, recommending corrective action as appropriate.
    4. Expense Control: Performs job duties in a manner that maximizes expense control.
    a. Uses supplies, equipment, and utilities in an expeditious manner
    b. Consistently recommends methods to control costs while maintaining a high degree of customer service.
    c. Performs job tasks efficiently and effectively resulting in no unplanned overtime.

    Regulatory Requirements:
    • Associates Degree in business administration or distribution management preferred.
    • 5-7 years experience in material management/coordination required.

    Language Skills:
    • Able to effectively communicate in English, both verbally and in writing.
    • Strong written and verbal skills.
    • Additional languages preferred.

    Skills:
    • Basic computer knowledge.
