Summary

Position Summary

The Business Coordinator serves as an adjunct to the Practice Manager/Medical Director.  He/she oversee the operations within the sites to ensure that daily functions within the office are maintained and that patient flow is smooth.  He/she assists the Practice Manager with hiring, counseling, evaluation, and termination of employees.  The Office Coordinator exercises a high degree of judgment and discretion in performing both routine and complex tasks.  This position has a high degree of visibility when interacting with internal and external customers.  This position is responsible for direct supervision of Patient Access staff at all 4 MGC Hem Onc office locations. Manages schedule for all locations, 11 physicians, treatment, lab, to ensure proper schedule format, templates followed, reminders, patients rescheduled.  Performs monthly cash/petty draw audits per cash control policy.  Assists escalated lab registration issues to facilitate charging/results.  Available to cover Patient Access staff when applicable. Assist with escalated patient and provider questions/concerns.  Responsible for department Stoplight report and updating communication boards at all sites.  Part of meaningful use group and super user team for MOSAIQ EMR.  Other responsibilities and projects as assigned.

Education

Core Job Responsibilities

  • Supervises 9 employees & students as assigned
  • Supervises Registration employees for all MGC Hem Onc Office locations (main campus and offsite) GIC Gaffney and GIC Pelham
  • Responsible for staff performing the following:
  • All MGC Hem Onc Registration
  • All Cancer Center Outpatient Lab Registration this includes (Hem Onc, Rad Onc, GYN Onc, Surg Onc, and Supportive Care patients)
  • GIC Gaffney/Pelham Registration
  • All Incoming MGC Hem Onc Referrals
  • Rescheduling of all appointments for Hem Onc providers
    SCRIPTS program
  • Responsible for MGC Hem Onc Schedule maintenance for 11 MDs and 9 NPs
  • Review schedule updates, verify dates are blocked, Follow up with associates to reschedule/ send letters to patients
  • Update schedule guidelines as needed for associates to use as a reference for scheduling. Notify associates of any short term/long term changes
  • Address any concerns providers have about their schedule templates
  • Review no show list each month to verify patients have been contacted to reschedule missed appointments.
  • Follow up with PARS assigned to each provider
  • Monthly general inspection of Spartanburg, Gaffney, Pelham, & Union locations.
  • Check for equipment needs, out dated signage, overall cleanliness of area
  • Monthly Cash drawer audits for each offsite location
  • Coordinates annual RHP MGC Hem Onc office site inspections
  • Corrects failed bills items related to Registration denials
  • Oversee daily operations of MGC Hem Onc Spartanburg registration to ensure patient flow is smooth
  • Oversight of Genetic Counseling and High Risk Breast Clinic processes related to referrals and scheduling
  • Oversight of MGC Hem Onc patient survey to ensure surveys are captured  for all providers at all office locations
  • Oversight of SCRIPTS program for prescribed controlled meds
  • Updates Department forms - sign in sheets, new patient packets, and hospital forms as applicable
  • Responsible for Communication Board updates for 4 MGC Hem Onc departments
  • Maintains Stoplight Report for 4 MGC Hem Onc departments (clinical & non-clinical areas)
  • Chemical Inventory support for all MGC Hem Onc office locations
  • Supports management in quality programs when applicable
  • Coordinates call in staff coverage for her direct reports and with other Supervisors
  • Meet with patients and providers to resolve errors, complaints, misunderstandings
  • Backs up 2 Supervisors as needed (cross trained)
  • Special projects as assigned related to practice and department management
