Job Summary

Under the general supervision of the Executive Director, the Inpatient Coordinator will work in support of Inpatient Neurology, and administratively support the Neuroscience Service Line. May include working in the Gainesville, Braselton, Barrow or other inpatient facilities; and working in the outpatient environment. Responsible for business-oriented tasks such as provider scheduling, census management, supply and service management, billing reconciliation and other duties, as assigned. Provides general clerical support for physicians, APPs and other providers. Incumbent must be able to effectively assist in resolving problems arising in the support of physicians, other providers, staff and patients in a complex, dynamic environment.

Minimum Job Qualifications

  • Licensure or other certifications: Current BLS certification required or must be obtained within 30 days of hire.

  • Proficiency with Microsoft Office Suite and various provider scheduling programs (e.g. AMION).  Familiarity with Epic EHR is desirable

Essential Tasks and Responsibilities

  • General Administration. Serve as the point of contact between providers, NGPG and NGHS staff as it relates to a variety of administrative functions. Support the Chair in scheduling meetings and facilitating physician attendance. This includes Department/Staff meetings, team meetings, committee meetings, council meetings, and community outreach meetings. Room reservations and food service should be scheduled as needed.  Keep meeting minutes as assigned. Oversee and document all aspects of recording physician meeting attendance as part of physician and APP quality and citizenship metrics. Work with the personnel at Gainesville, Braselton, Barrow and any other system-owned inpatient facilities to track attendance records for team physicians and other providers at IDT rounds. Collection of relevant data to measure physicians for various clinical quality, service quality, productivity and other performance metrics.  Develop effective tools for illustrating performance (e.g. charts, graphs, PowerPoint). Ensure payroll is completed for Inpatient Neurology providers. Support Chair and recruitment team in scheduling provider interviews and related logistics. Keep an updated contact list of the Inpatient Neurology physicians, APPs and other providers. Handle the incoming calls, mail, and faxes including home health agency orders and pharmacy calls. They must be sorted, filtered and distributed for the care providers so that priority items get a proper response. Oversee laundering of lab coats. Order office supplies. This includes general supplies, business cards, toner cartridges, and various other items.
  • Provider Support. Create, distribute and update the inpatient neurology provider and APP schedule. Interacts with providers on day-to-day issues affecting their practices, CME, supplies and equipment and other. Ensure on-boarding logistics are in place for new providers. Provide on-site coordination and facilitation for credentialing, re-credentialing and privileging of Inpatient Neurology providers. Follow-up with the hospital staff office to make sure the providers have pagers, keys, and badges before work and that the pager number is available to the hospital units. Forward deficient records notices, death certificates requiring signature, and other medical records information to the appropriate physician or provider to facilitate their completion.
  • Revenue Management. Performs revenue management functions for the practice, including developing a system for timely and accurate charge capture. Work with CBO to ensure all charges are captured and posted in a timely and accurate manner. Follow up with providers to resolve missing or incomplete patient medical record documentation. Understand and be able to analyze basic CPT coding process and criteria. May identify opportunities for improved revenue capture and coding practices. Utilize practice management software (Ingenious Med, Allscripts, Paragon, Epic) to facilitate improved revenue management. Participate in audits to ensure appropriate billing.
  • Patient Relations. In conjunction with the Medical Director(s), responsible for investigating and resolving patient complaints and risk management variances. Participates in managing the patient satisfaction survey process and works with the Medical Director and Administrative Director to identify and implement initiatives for improving overall satisfaction scoring.
  • Budget & Expense Support. Provide data to Neuroscience Service Line leadership in preparation of annual Productivity and Expense Budgets. Prepare and maintain accurate spreadsheets to ensure providers’ use of CME is within the limits as specified in their contract. Investigate expense variances. May provide input into direct expense projections. Maintain purchasing log, work with accounts payable, accounts receivable, and purchase orders.
  • Health Information Management. Ensures Providers complete Medical Record documentation in a timely manner. Ensures appropriate training, certification and access control of staff and providers in use of all clinical data and repository systems (i.e. Paragon Web Station, Allscripts, and Ingenious Med, etc.).
  • Facilities Support & Safety Regulations. Assure compliance with specified regulatory requirements within established policies and procedures. Support effective practice performance in safety rounds. Establish plans for improving deficiencies. Help ensure all staff have the space and equipment to effectively do their job. Flags items for repair and reports safety issues. Orders equipment and maintains supplies for the functionality of the department.
  • Cleanliness, Appearance, & General Maintenance. Work with facilities management and environmental services to ensure ongoing facility maintenance. May assist with coordination facility renovation projects.
  • Support the Medical Directors, Executive and Administrative Directors in any special projects for the Neuroscience Service Line, as assigned.
