Overview
A Behavioral Health Unit Secretary plays a crucial role in supporting the administrative and operational functions of a healthcare facility's behavioral health or psychiatric department. Their duties revolve around managing patient and staff communication, handling administrative tasks, and maintaining an organized environment for the healthcare team.
Responsibilities
Patient Admissions and Discharges
- Assist with the intake process for new patients, which may include completing forms, verifying insurance, and collecting necessary documentation.
- Process patient discharges and update records accordingly.
Scheduling and Appointments
- Schedule appointments for therapy sessions, doctor visits, and follow-up appointments.
- Coordinate with various healthcare providers, including psychiatrists, psychologists, social workers, and nursing staff.
Medical Records and Documentation
- Maintain accurate, confidential, and up-to-date patient records, ensuring that they comply with privacy laws (such as HIPAA in the U.S.).
- Organize and file paperwork, including patient charts, treatment plans, and medical reports.
Communication
- Answer phones, direct calls, and take messages for healthcare providers.
- Relay messages to patients and staff regarding appointments, treatment updates, or other relevant information.
Administrative Support
- Provide clerical support, such as copying, faxing, and handling mail.
- Assist with managing office supplies and equipment.
Patient Interaction and Support
- Greet patients, visitors, and family members, providing directions and basic information.
- Ensure patients are comfortable and assist them with paperwork as necessary.
Coordination with Other Departments
- Work closely with other hospital or healthcare departments (e.g., billing, pharmacy, or medical records) to facilitate patient care and resolve issues.
Confidentiality and Privacy
- Handle sensitive and confidential patient information in accordance with legal and ethical guidelines.
Qualifications
- Past work experience related to nursing or medical records is desirable.
- Ability to maintain professional manner with visitors, hospital staff, and physicians.
- Ability to work under pressure and to organize and complete multiple tasks in a limited time.
